Travel Terms and Conditions

When you book a trip with The BLACK Spot Co., you agree to our terms, including the payment requirements, cancellation policy, and inclusions/exclusions listed. By submitting a booking, you confirm that you are legally authorized to do so and acknowledge the terms governing your trip.

• Payment Terms: A non-refundable deposit is required to confirm your booking. Remaining payments can be arranged via a payment plan, with all payments processed automatically once enrolled. Payment amounts, frequencies, and deadlines will be communicated, and adjustments require a minimum 20-day notice.

• Cancellations and Refunds: Cancellations made more than 120 days before the trip will result in a travel credit, minus non-refundable deposits and fees, valid for one year from cancellation. No refunds will be issued for cancellations within 120 days of the trip.

• Inclusions and Exclusions: Trip inclusions and exclusions are detailed per itinerary, including meals, accommodations, and excursions. Travel insurance, personal expenses, and optional activities are generally excluded unless stated.

Our payment plan offers flexible options to help you budget for your trip.

• Options Available: Choose from three options with varying deposit amounts and equal monthly payments, including processing fees. If a payment is larger than required, the remaining balance may be adjusted upon approval.

• Automatic Deductions: All payment plans are set for automatic deductions. Travelers must alert us 20 days before any scheduled payment for adjustments.

As a participant, you agree to respect all guidelines, adhere to the itinerary, and engage with local cultures respectfully. Misconduct may result in removal from activities or termination of your participation without refund.

• Behavioral Expectations: Participants are expected to show respect for the local culture, customs, and traditions. Illegal activities are strictly prohibited and may result in immediate removal.

• Cultural Awareness: Participants must engage with an open mind and respect the community guidelines.

Participants are required to obtain travel and medical insurance to cover potential costs related to medical emergencies, trip delays, or other unforeseen events.

• Responsibility for Coverage: The BLACK Spot Co. does not provide travel or medical insurance. Participants are responsible for obtaining adequate coverage for their needs.

• Liability Disclaimer: In the event of medical issues or accidents, The BLACK Spot Co. will not be liable for costs or damages.

Participants acknowledge and accept the inherent risks associated with travel and related activities. By joining a trip, you agree to release The BLACK Spot Co. from liability for injuries, accidents, or other unforeseen events.

• Assumption of Risk: Participation in all activities is voluntary. By joining, you accept the risks associated with transportation, outdoor activities, and cultural immersion.

• Indemnification and Waiver: You agree to indemnify and hold harmless The BLACK Spot Co. from all claims resulting from participation in the trip.

Participants are responsible for ensuring that they have all necessary travel documents, including a valid passport and any required visas.

• Passport Validity: Travelers must have passports valid for at least six months beyond the travel dates.

• Visa Requirements: It is the responsibility of the traveler to confirm and obtain all necessary visas. Failure to secure required documentation will be the traveler’s liability.

The BLACK Spot Co. collects, stores, and processes your personal information per applicable laws to enhance your travel experience and for administrative purposes.

• Data Usage and Protection: Information is collected solely for travel-related activities. We maintain confidentiality and protect data per our privacy policy.

• Confidentiality in Group Settings: Sensitive information shared during workshops or networking sessions is to be treated as confidential by all participants

To ensure safe and responsive support, participants must provide emergency contact and medical information.

• Medical Conditions and Allergies: Information regarding allergies and medical conditions will be kept on file. Travelers are responsible for updating this information if it changes.

• Emergency Disclosure: In case of an emergency, this information may be shared with healthcare providers.

• Traveler’s Responsibility to Update: Dietary information will be held on file. It is the traveler’s responsibility to update us if changes occur.

• Disclaimer of Liability: The BLACK Spot Co. will make reasonable efforts to accommodate dietary needs but will not be held liable for cross-contamination or issues beyond our control.

In cases of unforeseen events like natural disasters, political instability, or pandemics, The BLACK Spot Co. reserves the right to modify or cancel the trip as needed.

• Company Rights: We reserve the right to alter itineraries, reschedule, or cancel trips without liability for such changes due to force majeure.

• No Refunds: In cases where changes are made due to force majeure, refunds may not be available. Please refer to our cancellation policy for details.

Participants grant The BLACK Spot Co. permission to use photographs, videos, and testimonials for promotional purposes unless otherwise specified.

• Consent for Media Use: By participating, travelers consent to the use of images or testimonials for promotional purposes.

• Duration of Consent: Consent is considered ongoing unless formally withdrawn in writing.

Requests for customizations are welcome but subject to approval and may incur additional fees.

• Procedure for Requests: All special requests must be submitted before trip departure, with additional costs and deadlines communicated.

• Approval and Adjustment: Customization options are subject to The BLACK Spot Co.’s approval and availability.
